Cara Melindungi Exchange Online Mailboxes


What items can be backed up?


You can back up user mailboxes, shared mailboxes, and group mailboxes. In addition, you can choose to back up the In-Place Archieve mailbox of the selected mailbox.


What items can be recovered?

The following items can be recovered from the mailbox backup:

  • Mailbox

  • Folder email

  • Email message

  • Calendar events

  • Task

  • Contact

  • Journal entry

  • Notes



The following items can be restored from the public folder backup:

  • Subfolder

  • Posts

  • Email message


You can use search to find the location of items. When restoring mailboxes and mailbox items, you can choose whether to overwrite or overwrite the items in the desired location.


Selecting Mailbox

Select a mailbox as below, and then specify other settings of the backup plan accordingly. To select an Exchange Online mailbox



  1. Click on Microsoft 365.

  2. If multiple Office 365 organizations are added to the backup service, select the organization whose user data you want to back up. Otherwise, skip this step.

  3. Do one of the following:

  • To back up all users' mailboxes and all shared mailboxes (including mailboxes that will be created in the future), Click Users, Select All Users and click Group Backup.




  • Please note that all mailboxes created in the future will be included in Group Backup and will use the subscription seat quota. For the backup design version, it currently does not support excluding certain mailboxes from being backed up in the Group Backup Plan after they are created.

  • If you only want to back up specific user mailboxes, create a backup plan for Individual Mailbox and apply it to the required items.

  • To back up individual user mailboxes, you can click Users and then select All users and select the users you want to back up. After that, select the mailboxes you want to back up and click Backup.



  • To back up individual users or shared mailboxes, you can expand the Users node by clicking it and then click All users. Select the users whose mailboxes you want to back up and click Backup.


  • To back up all group mailboxes (including group mailboxes that will be created in the future), you can expand the Groups node by clicking it and then click All groups. Select the users whose mailboxes you want to back up and click Backup.




  • To back up individual group mailboxes, expand the Group node, select All groups, select the group whose mailboxes you want to back up, and then click Backup.



  1. Di panel backup plan:

  • Ensure that mailbox items are selected that will be backed up.




  • If you do not want to backup the archive mailbox, disable Archive mailbox.


  • [Additional] If you want to encrypt your backup, enable Encryption, then set your password and choose an encryption algorithm. Please keep the encryption key safe, if lost, there is no way to recover it even from Exabytes.



Recovering Mailboxes

  1. Click on Microsoft 365.

  2. If multiple Microsoft 365 organizations are added to the backup service, select the organization whose backup data you want to restore. Otherwise, skip this step.

  3. Do one of the following:

  • To recover a user mailbox, expand the Users node, select All users, select the user whose mailbox you want to recover, and then click Recovery.



  • To recover a shared mailbox, expand the Users node, select All users, select the shared mailbox you want to recover, and then click Recovery.

  • To recover a group mailbox, expand the Group node, select All groups, select the group whose mailboxes you want to recover, and then click Recovery.

  • If the user, group, or shared mailbox box has been deleted, select the Microsoft 365 backups section in the Backups tab and click Show backups.



  1. You can search for users and groups by name. Wildcards are not supported.

  2. Select a recovery point. Tips: if you want to see only recovery points that contain mailboxes, select Mailboxes in Filter by Content.

  3. Select Recover > Entire mailbox.

  4. If multiple Microsoft 365 organizations are added to the backup service, click the Microsoft 365 organization to view, change, or specify the target organization. By default, the original organization is selected. If this organization is no longer listed in the backup service, you must specify the target organization.


  1. In Recovery to Mailbox, you can view, change, or specify the target mailbox. By default, the original mailbox is selected. If this mailbox does not exist or a non-original organization is selected, you must specify the target mailbox.

  2. Click on Start Recovery.

  1. Choose one of the following options:


  • Overwrite existing items
  • Do not overwrite existing items

  1. Click Proceed to confirm your preferred option.




Recovery Mailbox Items


  1. Click on Microsoft 365.

  2. If multiple Microsoft 365 organizations are added to the backup service, select the organization whose backup data you want to restore. Otherwise, skip this step.

  3. Do one of the following:

  • To recover items from a user mailbox, expand the Users node, select All users, select the user whose mailbox originally contained the items you want to recover, and then click Recovery.

  • To recover items from a shared mailbox, expand the Users node, select All users, select the shared mailbox that originally contained the items you want to recover, and then click Recovery.

  • To recover items from a group mailbox, expand the Group node, select All groups, select the group whose mailbox originally contained the items you want to recover, and then click Recovery.

  • If a user, group, or shared mailbox has been deleted, select it in the Microsoft 365 backups section of the Backup tab, and then click Shows backups.


  1. You can search for users and groups by name. Wildcards are not supported.

  2. Select the desired recovery point. Tips: to view only recovery points that contain mailboxes, select Mailboxes in Filter by content.

  3. Click Recover > Email messages.


  1. Browse to the required folder or use the search to get a list of required items. The following search options are available. Wildcards are not supported.


  • For email messages: search by subject, sender, recipient, and date.

  • For events: search by title and date.

  • For tasks: search by subject and date.

  • For contact: search by name, email address, and phone number.



  1. Select the items you want to recover. To be able to select folders, click on the "recover folders" icon." : Alternatively, you can do one of the following::


  • When an item is selected, click Show content to view its contents, including attachments. Click the attached file name to download it.

  • When an email message or calendar item is selected, click Send as email to send the item to the specified email address. You can select a sender and write text to add to the item you want to forward.

  • If the backup is not encrypted, you use search, and select an item in the search results: click Show versions to select the version of the item to restore. You can select any backup version earlier or later than the selected recovery point.


  1. Click Recover.


  1. If multiple Microsoft 365 organizations are added to the backup service, click the Microsoft 365 organization to view, change, or specify the target organization.

  1. By default, the original organization will be selected. If this organization is no longer registered with the backup service, you must specify the target organization.

  2. In Recover to mailbox to mailbox, you can view, change, or specify the target mailbox. By default, the original mailbox is selected. If this mailbox does not exist or a non-original organization is selected, you must specify the mailbox message target.



  1. [Special for recovery of user or shared mailboxes] on Path, You can view or change the target folder in the target mailbox. By default, the recovered Items folder is selected. Group mailbox items are always restored to the Inbox folder.

  2. Click Start recovery.

  3. Choose one of the options:

  • Overwrite existing items

  • Do not overwrite existing items

  1. Click Proceed to confirm your preferred option.
